What we collect, why we collect it, who we share it with and how long we keep it.
Who we are
Bristol Drone is run by James Winch and is based in Bristol, UK. For this website, and for any enquiry or booking, we are the “controller” of your personal information. If you have a question about anything in this policy, email jameswinch95@gmail.com.
What we collect
When you enquire: your name and email address, and anything you choose to tell us in the contact form or by email, such as the service and package you’re interested in, the project location and details about the job.
When you book: the details we need to plan and invoice the job, such as the site address, a contact phone number, billing details and any access or permission arrangements.
When we fly: the photos, video and survey data we capture for you. Aerial imagery can incidentally show people, vehicles and neighbouring property (see “Filming from the air” below).
When you visit the website: our hosting provider keeps standard server logs, such as your IP address, browser type, the pages requested and the time, to deliver the site and keep it secure.
The website sets no cookies and runs no analytics, advertising or tracking scripts. Its fonts, images and video are served from our own site, so browsing it doesn’t send your details to other companies.
How we use it, and our lawful basis
To reply to your enquiry and prepare a quote: these are steps you ask us to take before entering into a contract, and we also have a legitimate interest in answering enquiries.
To plan, carry out, deliver and invoice the work you book: this is necessary to perform our contract with you.
To keep the accounts and records the law requires: this is a legal obligation.
To keep the website secure and working, and to deal with any complaint, insurance or legal claim: these are our legitimate interests.
We don’t use your details for marketing, we never sell them, and we don’t make automated decisions about you.
Filming from the air
We plan every flight to capture the site you’ve asked for, and to avoid filming people who aren’t involved wherever we can. Even so, aerial photos and video can incidentally include people, vehicles and neighbouring homes. We don’t use footage to identify anyone. Media is delivered to the client who booked the job, who is then responsible for how they use it. If you think you appear in footage we’ve captured and you’d like it blurred or deleted, email jameswinch95@gmail.com and we’ll look into it promptly.
Who we share it with
We only share personal information with service providers who help us run the business, and only what they need:
Formspree delivers contact-form messages to us (formspree.io, based in the United States). When you send the form, Formspree may show a Google reCAPTCHA check to block spam, in which case Google processes information such as your IP address.
Vercel hosts this website and keeps its server logs (vercel.com, based in the United States).
Google provides our email, so messages you send us are stored in Google’s systems.
Cloud storage: we deliver and back up your media using a secure cloud storage service.
Where needed, we may also share information with our accountant, our insurer or professional advisers, or where the law requires it.
International transfers
Formspree, Vercel and Google may process information outside the UK, including in the United States. Where they do, the transfer is covered by UK adequacy regulations (such as the UK-US data bridge, for certified providers) or by contract terms approved for international transfers, such as the UK International Data Transfer Addendum.
How long we keep it
Enquiries that don’t lead to a booking: up to 12 months after our last contact, then deleted.
Booking and invoice records: for as long as HMRC requires us to keep business records (currently at least 5 years after the 31 January tax return deadline for the year concerned).
Photos, video and survey data: we keep a backup for 12 months from delivery, as described in our packages, then delete it.
Website server logs: kept by our hosting provider for a short period, in line with its own retention policy.
Your rights
You can ask us for a copy of the personal information we hold about you, and ask us to correct it, delete it, restrict how we use it, object to our using it, or send it to you or another organisation in a portable format. Email jameswinch95@gmail.com to make a request. We’ll respond within one month, and there’s normally no charge.
If you’re unhappy with how we’ve handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes to this policy
